Student salaries at Stanford

Three important facts about TA and CA salaries:

  • In the 2008-2009 academic year, the TA salary is $7,600 per quarter (or $1,266.67 per pay period; 6 pay periods per quarter).
  • If you've been paid a stipend or fellowship before, this is different: you won't receive your payment in a single lump sum. Rather, you will be paid on a biweekly basis.
  • Your first check will not arrive until after the quarter begins (see below).

Any student employee TA or CA must meet several requirements before receiving a paycheck. You must be registered in any quarter in which you are paid (including summer), make suitable academic progress, and maintain good standing in the University. If this is your first employment by Stanford, you will also have to fill out several forms and give them to the Linguistics Student Services Coordinator (Alyssa Ferree, aferree at stanford dot edu, 725-1552):

  • "I-9 Verification" form :
    • Permanent Residents: must bring an unexpired resident alien card
    • F1/J1 visa holders: must bring an unexpired passport and a current I-20 or IAP66 form
    • U.S. Citizens: must bring a U.S. Passport; or a Certificate of U.S. Citizenship or Naturalization; or two documents: a state-issued driver's license or I.D. card with photograph (to establish identity) AND an original Social Security card or U.S. birth certificate or unexpired INS Employment Authorization (to establish employment eligibility).

  • Tax Data form (to instruct the University how much tax to withhold from your salary) Note: if you need to update your Tax Data form, go to the Bursar's office. For advice on withholding, and the best tax strategies for your personal financial profile, consult a tax specialist or attorney.

  • Automatic Paycheck Deposit Authorization Form (pdf) (if you want your paycheck to be electronically deposited into an account of your choice)

Each of these forms only needs to be filled out at the start of employment, but if there is a gap in your employment by Stanford you should check to be sure they are still on file.

International students may also qualify for "tax treaty" status: some countries have agreements with the U.S. which exempt their students from some or all taxes. To claim an exemption, the appropriate forms must be filed annually. Check with the Bursar's office. Go here for more info about countries having federal income tax treaties with the United States

Note: If any of these forms is missing or outdated, your paychecks will be withheld, until updated.

* How You Are Paid *
Assistantship salaries are processed through Stanford's regular Payroll system. Assistants are University employees.

Deductions: Federal, state, and social security taxes are withheld from salary checks. This withholding is reported like any other salary. Tuition amounts are not taxable or reported. If you have questions regarding withheld taxes, first review http://co.stanford.edu/students/sar/taxinfo.html and then contact the Payroll Office directly (650) 723-2259. If you would like to have housing and/or University fees deducted from your earnings, you may sign up via the payroll deduction website. Note that there are quarterly deadlines to sign up for payroll deduction.

Schedule: Tuition is automatically paid at the beginning of the quarter.
Payroll checks come twice a month, to the department, or you may arrange for direct deposit to your bank. If you arrange for direct deposit, you will receive a non-negotiable check stub twice a month. Work performed from the 1st to 15th of a month is paid on the 22nd; the second half of the month is paid on the 7th of the following month. Student appointments, which are established in terms of the academic year, always follow a quarterly schedule:

First day of classes Appointment span First check Last check
Fall Sept 1 Sept 16 - Dec 15 Oct 7 Dec 22
Winter Jan 10 Dec 16 - Mar 15 Jan 7 Mar 22
Spring Apr 4 Mar 16 - Jun 15 Apr 7 June 22
Summer June 16 - Sept 15 July 7 Sept 22

Note that all appointments in Linguistics run a pay period earlier than most departments. If you TA through another department your pay schedule will be different from this by one pay period (your first check will arrive on Oct 22nd, etc.). Contact the Linguistics Department office for more information if this becomes an issue.

* If A Check Does Not Arrive On Time *
First, examine your own status. Are you registered? Is there a hold on your registration? If this is your first check, have you filed all the appropriate paperwork? If you changed jobs, the check might be either at the Linguistics Department or at your old department - look both places. Also, please let your old job know that you are not presently working with them, and to inactivate you in their personnel records. If you are an international student, you should also check if there have been changes or updates to visa paperwork; e.g., has the I-20 expired or did you get an extension but not update the department?

Then, come to the Linguistics Department office to report either that you have found and fixed one of the problems above and need a replacement check, or else to find out what is wrong. In any event, we will try to find the problem and help you fix it.
